Job Summary:
The Secretary will provide administrative, customer service, and operational support to ensure smooth daily activities of the company. This role combines front-desk responsibilities with customer engagement, order processing, and preparation of sales for both online and walk-in customers. The ideal candidate must be organized, professional, customer-focused, and able to multitask effectively in a fast-paced business environment.
Key Responsibilities
Administrative & Office Support:
- Manage front-desk operations and receive visitors professionally.
- Handle phone calls, messages, emails, and general correspondence.
- Maintain proper filing systems (physical and digital).
- Schedule meetings, manage appointments, and support management with daily tasks.
- Prepare basic documents, reports, and records as required.
Customer Service:
- Attend to walk-in customers courteously and professionally.
- Respond to online customer inquiries via approved company channels.
- Provide accurate information about products and services.
- Ensure a positive customer experience and handle complaints or issues politely, escalating when necessary.
Sales Support, Packaging & Order Handling:
- Assist with sales transactions for walk-in and online customers.
- Prepare, package, and label products for customer pickup or delivery.
- Verify orders for accuracy before packaging and dispatch.
- Maintain basic sales records and hand over completed orders appropriately.
- Support inventory checks related to customer orders.
General Duties:
- Keep the reception and work areas clean, organized, and presentable.
- Support other departments when required to ensure smooth operations.
- Perform any other duties assigned by management.
Qualifications & Requirements:
- Minimum of SSCE / OND / HND / Bachelor’s degree in a relevant field is an advantage.
- Proven experience as a Secretary, Front Desk Officer, or Customer Service Representative is preferred.
- Basic computer skills (Microsoft Word, Excel, email, and internet use).
- Good written and verbal communication skills.
- Ability to multitask, stay organized, and work with minimal supervision.
- Honest, responsible, and customer-oriented.
