Job Summary:
The Office Sales Representative is responsible for driving sales, supporting customers, and ensuring smooth day-to-day office operations. The role combines sales execution, customer service, administrative duties, and light warehouse support to ensure accurate order fulfillment and high customer satisfaction.
Key Responsibilities:
- Sales Responsibilities:
- Handle inbound and outbound sales inquiries via phone, email, walk-in customers and other approved digital channels
- Promote company products and services and close sales transactions.
- Prepare quotations, sales orders, and invoices.
- Follow up on leads, quotations, and pending payments.
- Meet or exceed assigned sales targets.
- Customer Service Duties:
- Attend to customer inquiries, complaints, and requests professionally.
- Provide accurate product and service information, pricing, and availability.
- Follow up with customers on order status, delivery, and collections.
- Maintain positive, long-term customer relationships.
- Ensure customers have a smooth and satisfactory buying experience.
- Administrative Duties:
- Maintain accurate customer, sales, and transaction records.
- File and organize sales documents and reports.
- Coordinate internally with inventory, logistics, and accounts teams.
- Support general office operations related to sales activities.
- Ensure proper documentation for every transaction.
- Warehouse Support, Packaging & Order Handling:
- Confirm product availability with the warehouse before completing sales.
- Assist in identifying, picking, and verifying items for customer orders.
- Prepare, package, and label products for customer pickup or delivery.
- Cross-check quantities, product details and verify orders for accuracy before dispatch or pickup.
- Report stock shortages, damages, or discrepancies to the appropriate team.
- Support smooth movement of goods without performing heavy warehouse duties.
- General Duties:
- Keep the reception and work areas clean, organized, and presentable.
- Support other departments when required to ensure smooth operations.
- Perform any other duties assigned by management.
Requirements & Qualifications:
- Minimum of SSCE / OND / HND / Bachelor’s degree in a relevant field is an advantage.
- Previous experience in sales, customer service, or office administration is an advantage.
- Strong communication and interpersonal skills.
- Basic computer and record-keeping skills.
- Ability to multitask and work under minimal supervision.
